Health and Safety policy
Man and a Van Finchley Health and Safety Policy
Man and a Van Finchley is committed to maintaining a safe and healthy environment for our customers, employees, contractors and members of the public. This Health and Safety Policy sets out our approach to managing risks associated with our removal and transportation services, including domestic moves, office relocations and light commercial removals within our service area.
Purpose and Scope
The purpose of this policy is to outline the standards and procedures we follow to prevent accidents, injuries and damage to property during removal operations. It applies to all members of staff, including drivers, porters, office personnel and any contractors working on behalf of Man and a Van Finchley. The policy covers all activities related to planning, loading, transporting and unloading goods, as well as visiting customer premises and operating in public spaces.
Health and Safety Responsibilities
Man and a Van Finchley recognises its responsibility to provide a safe system of work, suitable equipment and appropriate information and training. Management is responsible for implementing this policy, reviewing it regularly and ensuring that health and safety is considered in every aspect of the business. Employees have a duty to work safely, follow instructions, use equipment correctly and report any hazards or incidents without delay.
Every member of the team is expected to take reasonable care of their own health and safety and that of others who may be affected by their work, including customers, neighbours and other road users during removals and transport.
Risk Assessment and Safe Working Practices
Before undertaking removal work, staff will assess risks associated with access routes, stairs, lifts, parking, traffic, weather conditions and the specific items to be moved. Where necessary, adjustments will be made to the method of work, number of staff, timing or equipment used to ensure activities can be carried out safely.
Safe working practices are followed at all times, including careful lifting and carrying techniques, team lifting for heavy or awkward items, and the use of appropriate trolleys, straps and protective coverings. Objects are never dragged along floors or forced through tight spaces where this may cause damage or injury.
Staff Training and Competence
All staff receive training appropriate to their role, including induction training on this Health and Safety Policy, manual handling, correct use of removal equipment and safe driving practices. Refresher training is provided as required, and additional instruction is given when new procedures, vehicles or equipment are introduced.
Only competent and authorised employees are permitted to drive company vehicles or operate specialist equipment. Staff are encouraged to raise any concerns about their ability to perform a task safely, and work will be reorganised if necessary to prevent undue risk.
Manual Handling and Lifting
Manual handling is a key element of our removal work. Man and a Van Finchley places strong emphasis on safe lifting techniques that help protect the back, joints and muscles. Wherever practicable, mechanical aids such as sack trucks and dollies are used to reduce manual handling demands.
Heavy items are handled by two or more team members, and loads are broken down into smaller, manageable parts when possible. Staff are instructed to avoid twisting while lifting, to maintain a stable footing and to take regular short breaks during physically demanding tasks.
Vehicles, Driving and Transport Safety
Our vehicles are maintained in a roadworthy condition and are subject to regular checks. Drivers carry out daily visual inspections before use, including tyres, lights, mirrors and load areas. Any defects are reported immediately and vehicles are not used if they are unsafe or unfit for service.
Drivers must follow all road traffic rules, plan routes carefully and allow sufficient time for journeys to avoid rushing. Loads are restrained securely to prevent movement during transit, and weight is distributed evenly in the vehicle. Parking is carried out with consideration for pedestrians, neighbouring properties and other vehicles, ensuring access routes remain clear for emergency services.
Customer Premises and Site Safety
When working at customer addresses, our staff take care to protect both the property and the people present. Floor coverings, corner protectors and other safeguards are used where appropriate to minimise damage and trip hazards. Access routes are kept tidy and free of obstacles, and items are stacked safely to avoid falls or collapse.
Customers are asked to keep children and pets away from active work areas and to avoid passing through narrow hallways and doorways while items are being moved. Where there are particular risks, such as fragile structures, low ceilings or uneven surfaces, these are identified and a safe method of work agreed with the customer before proceeding.
Equipment and Personal Protective Equipment
Man and a Van Finchley provides suitable equipment for moving furniture and other goods, including trolleys, ramps and securing straps. All equipment is inspected regularly and removed from service if found to be defective. Staff must use equipment only for its intended purpose and in accordance with training.
Where appropriate, personal protective equipment such as gloves, safety footwear or high-visibility clothing is provided and must be worn as instructed. Employees are responsible for caring for their equipment and reporting any damage or loss so that replacements can be arranged.
Accident, Incident and Near Miss Reporting
All accidents, incidents and near misses must be reported to management as soon as possible, whether they involve staff, customers, members of the public or property. Reports are recorded and investigated to identify causes and implement any necessary corrective actions. Lessons learned are shared with the team and used to improve procedures and training.
In the event of injury, appropriate first aid will be sought, and emergency services contacted if required. Customers are informed promptly of any incident affecting their property or the progress of the job.
Health, Welfare and Fitness for Work
Man and a Van Finchley recognises the importance of general health and wellbeing in carrying out removal work safely. Staff are expected to attend work in a fit state and must not work under the influence of alcohol, drugs or any substance that may impair judgement or physical capability. Anyone feeling unwell, fatigued or otherwise unable to perform duties safely must inform their supervisor as soon as possible.
Breaks are taken as needed, particularly during longer jobs or in challenging weather, to prevent fatigue. Suitable drinking water and rest opportunities are provided during the working day.
Policy Review and Continuous Improvement
This Health and Safety Policy is reviewed regularly to ensure it remains relevant to our operations, legal requirements and industry good practice. We are committed to continual improvement in our health and safety performance and welcome feedback from employees and customers on ways to make our services safer and more efficient.
By choosing Man and a Van Finchley, customers can be confident that their move is carried out with care, professionalism and a clear commitment to safety at every stage.
